Privacy Policy

Version of 2 October 2026. This policy explains what personal data the VILIDA Dental Clinic website (vilida.ua) collects, why, who we share it with, how long we keep it and how you can manage your data.

Who processes your data

The data controller is Private Enterprise “VILIDA” (Приватне підприємство «ВІЛІДА»), VILIDA Dental Clinic:

• company code (EDRPOU): 36449577;
• registered address: Office 38, Building 2, 6 Volodymyra Ivasiuka Ave, Kyiv 04211, Ukraine;
• medical practice licence of the Ministry of Health of Ukraine: series AV No. 539166 of 22 April 2010;
• email: info@vilida.ua, phone: +38 (067) 465 06 00.

We process personal data in accordance with the Law of Ukraine “On Personal Data Protection”.

What data we collect

• Data from website forms. The consultation and call-back forms collect your name and phone number. The online booking form also collects the dentist, service, preferred date and time of the visit and a comment, if you provide them.
• Messages and calls. Messages in the website chat and in messengers, and the phone number you call from. Phone calls with the clinic may be recorded, as provided for in our public agreement.
• Technical data. IP address, device and browser type, pages viewed, how you arrived at the website (including advertising UTM tags) and cookies.

We do not ask for medical data through the website. Patients’ medical records are kept separately at the clinic and are protected by medical confidentiality.

Why we use it

• to book your appointment, call you back and answer your questions;
• to contact you about your booking: to confirm, reschedule or clarify details;
• to improve the website and understand which pages are useful to visitors;
• to measure the effectiveness of the clinic’s advertising and show VILIDA ads to people who have already visited the website.

We process your data on the basis of the consent you give in the website form and because it is needed to book an appointment and enter into an agreement at your request.

Who we share data with

Your data is seen only by clinic staff who need it for their work — administrators and dentists. We use the following services, which act on our behalf:

• the clinic’s CRM system — to record enquiries and bookings;
• email — website requests are sent to the clinic’s mailbox;
• Binotel telephony — calls and call-back requests;
• HelpCrunch online chat;
• Google (Google Analytics, Google Tag Manager, Google Ads) — analytics and advertising;
• Meta (Facebook, Instagram) — a pixel to measure advertising;
• the hosting provider whose server runs the website.

Some of these services store data on servers outside Ukraine. We do not sell personal data and do not share it with anyone else, except where required by law — for example, in response to an official request from state authorities.

How long we keep data

• website requests, messages and enquiry history — up to 3 years from your last contact;
• call recordings — up to 1 year;
• technical data and cookies — no longer than 2 years, and less for some services, according to their settings.

After that, we delete or anonymise the data. Patients’ medical records are kept for the periods set by the Ministry of Health of Ukraine.

Cookies

Cookies are small files that your browser stores on your device. The website uses:

• necessary cookies — to remember the website language and make forms work;
• analytics cookies — Google Analytics counts visits and clicks;
• advertising cookies — Google Ads and the Meta pixel measure advertising;
• functional cookies — the online chat and call-back service.

You can block or delete cookies in your browser settings. The website will still work, but some features, such as the chat, may be unavailable.

Your rights

Under Article 8 of the Law of Ukraine “On Personal Data Protection”, you have the right to:

• know what data we process about you, why, and who we share it with;
• access your data;
• ask us to correct inaccurate data or delete it;
• object to processing and withdraw your consent;
• complain to the Ukrainian Parliament Commissioner for Human Rights or to a court.

Children’s data

A child can be booked in by a parent or another legal guardian. We process a child’s data with their consent.

How we protect data

The website uses a secure HTTPS connection. Only staff who need access for their work can see your data. Information about patients’ health is protected by medical confidentiality and is not disclosed.

Changes to this policy

We may update this policy. The current version is always published on this page, with the date of the latest update at the top. The terms of medical services are set out in the public agreement on the Documents page.
